For our offices in Zurich we are currently looking for an Office Assistant.
In this diverse role, you will provide administrative and organisational support to our offices in Zurich and Vaduz, and to various internal departments. The role includes regular visits to our Vaduz office to ensure smooth operations and a positive working environment.
Main Responsibilities
- Independently handling incoming and outgoing mail, including DHL shipments
 - Ensuring the smooth running of day-to-day office operations, from maintaining supplies and tidiness to coordinating service providers and deliveries
 - Managing and ordering office supplies, consumables and small gifts
 - Supporting the organisation and maintenance of the office infrastructure, including repairs and maintenance schedules
 - Providing administrative assistance to internal departments, particularly HR, Accounting and IT
 - Preparing and setting up meeting rooms (e.g. drinks and snacks)
 - Supporting the onboarding process for new employees (access badge, welcome package, workstation preparation)
 - Organising and sending birthday and welcome gifts
 - Supervising and supporting opening of new offices or relocation to new premises
 
In addition you will
- Support the Sales and Business Development department with administrative and organisational tasks
 - Assist in the preparation of presentations, documents and mailings
 - Maintain and update client data and sales material
 
Ad-hoc and special tasks
- Take on short-term or project-related administrative assignments when required
 - Provide occasional support to other offices and departments as needed
 - Welcoming and assisting visitors in a professional and friendly manner
 - Taking the lead and/or supporting the organization of both on-site and off-site marketing, networking or company events
 
Your Profile
You are a well-organised, service-oriented professional who enjoys taking responsibility and keeping an overview, even in busy times. You work precisely, communicate clearly and appreciate a varied role in an international environment.
Your background
- Completed commercial apprenticeship or equivalent qualification
 - Several years of experience in an administrative or assistant position, ideally in an international company
 - Excellent command of English and German (both written and spoken); additional languages are an advantage
 - Confident handling of MS Office and an affinity for digital tools
 - Structured, independent and reliable working style
 - Strong service orientation, team spirit and a friendly, professional manner
 - Enjoyment of organisation and contributing to a positive office atmosphere
 - Willingness to occasionally support another office location administratively
